ApprovalFlow — Business Automation Solution for Life-Sciences Companies

Firstly designed for a single pharmaceutical manufacturer, this cloud-based document review and approval solution has rapidly expanded into a SaaS for life-sciences companies. It consists of three modules, sharing the same architecture.

Promotional Review System

Before Sibers team has developed the solution, the company used emails for document review and approval — it was rather inconvenient to track the changes. Thus, the app ensures digital version control and makes the approval workflow a seamless and linear sequence of steps:

1. The company’s employee (originator) uploads a PDF document, image or video (e.g. with the description of a new product) to a secure cloud-based environment.
2. Email notification alert is sent to the first assigned approver. He can add comments to the document. When annotation is ready, he chooses if he approves the document, approves with changes or wants to resubmit it.
3. If he approves it, totally or with changes, the job is ready for review by the next person, and an email is sent to the next reviewer.
4. If he doesn’t approve, the document returns to the originator. The author of the document should make changes to it and upload a new version. The approval process starts again.
5. When the document is approved by all the assigned employees, it gets the status “approved”. Originator re-uploads it with changes made according to the comments received and the document can be used in company’s marketing and sales activities.

All document versions are stored within the system and can be reviewed anytime.

Medical Enquiries Management

This module automates medical enquiries-specific data input and processing.

A user can create the answer from scratch by fulfilling a special enquiry response form. Besides, the module allows to set up a standard response template and format this template using WYSIWYG HTML editor. Thus a user can use standard responses, answering to different types of inquiries, which greatly speeds up the process of responding in writing.

When the document is ready, the user initiates approval process, which is the similar to the Promotional Review System provides.

Events & Meetings Tracking

The third module allows to manage data related to company sponsored events.

Dealing with event-specific documents, it offers to fulfill a form, containing location details, list of guests, financial and sponsorship information, etc. Approval process is absolutely the same as in previous modules.

Reporting

Each module allows to conduct reports based on the data collected within it, for both, internal analysis and for meeting industry-specific pharmaceuticals business regulations compliance needs.
